Privacy policy for applicants

Dear applicant,

We are delighted that you are interested in our company and would like to apply for a job with us. The protection of your personal data is very important to us. We would therefore like to inform you below about the processing of your data in the context of your application to us.

1. Responsible person

The controller within the meaning of the General Data Protection Regulation (GDPR) is Excelitas Noblelight GmbH [Heraeusstraße 12-14, 63450 Hanau]. If you have any questions about the processing of your personal data, you can contact our  data protection coordinators at any time.

You can reach our data protection officer at

Dr. Sebastian Kraska

2. Processing purposes and legal bases

We process your personal data exclusively in the context of your application to us. We collect and process your personal data exclusively to carry out the application process, in particular to review your application documents and to conduct interviews.

The legal basis for the processing of your personal data as part of the application process is the initiation of an employment contract (Art. 6 para. 1 lit. b GDPR in conjunction with Section 26 para. 1 BDSG) and, if applicable, your consent (Art. 6 para. 1 lit. a GDPR).

3. Categories of personal data

We process the following categories of personal data as part of the application process:

  • First name, last name, address, e-mail address, telephone number
  • Application documents (e.g. cover letter, CV, references)
  • Other personal data provided by you as part of the application process

4. Recipient of your data

4.1 Recipients at Excelitas Technologies

Your data will only be passed on to those persons who are required to carry out the application process. These are in particular the HR department and those specialist departments for which your application is of interest. Your data will only be passed on to third parties if this is absolutely necessary to carry out the application process. In this case, recipients may be companies affiliated with us.

Under certain circumstances, it may be necessary to send your application documents to our parent company in the USA. This may be the case in particular if a decision on your application has to be made in close cooperation with our US colleagues.

In this context, we would like to point out that the USA is not part of the European Economic Area (EEA) and does not guarantee an adequate level of data protection within the meaning of the General Data Protection Regulation (GDPR). However, we will take technical measures, such as encrypting your data, to ensure that your personal data is protected in accordance with the provisions of the GDPR and other relevant data protection laws.

For example, prior to a transfer, we will ensure that the appropriate legal framework for the transfer is in place, for example by concluding standard contractual clauses or through your express consent. We will also ensure that the transfer only includes the personal data that is necessary for the purpose of the transfer.

4.2 Recipients outside the Excelitas Group

Your data will only be passed on to third parties if this is absolutely necessary to carry out the application process. In this case, recipients may be service providers.

If we transfer personal data to a service provider, this is done on the basis of a contract for order processing in accordance with the GDPR. All service providers used are carefully selected and obliged to treat your data confidentially and securely.

5. Storage period

If your application does not lead to the conclusion of an employment contract, your application documents will be deleted six months after completion of the application process. Your data will only be stored for longer if you expressly consent to it being stored in our talent pool. In this case, we will store your data for a period of two years or until you withdraw your consent.

6. Google analytics

We use Google Analytics on our website. Google Analytics is a web analytics service provided by Google LLC. Data about the usage behavior of our website is collected and transmitted to Google. Google uses this data to compile reports on the activities on our website and to provide other services related to the use of our website and internet usage.

We would like to point out that Google Analytics uses cookies, which - if you have consented to the use of cookies - are stored on your end device and enable us to analyze the use of our website. The information generated by the cookie about your use of our website is usually transmitted to a Google server in the USA and stored there. We would like to point out that the transmission of your IP address to Google also results in the transmission of personal data to a third country.

We use Google Analytics to analyze the use of our website and to constantly improve it. The legal basis for the use of Google Analytics is Art. 6 para. 1 lit. a GDPR. We have concluded an order processing contract with Google, which ensures that Google Analytics is used in accordance with the provisions of the GDPR.

If you wish to prevent the use of Google Analytics on our website, you can refuse your consent or prevent this by adjusting your browser settings or by using a browser add-on.

7. Use of the contact form

As part of our application portal, we use a contact form via the mailto: function, which contains a function with which you can contact us by e-mail and submit your application. When you use this function, your mail program is opened and an e-mail is automatically created with a prescribed text and us as the recipient.

We would like to point out that this function requires the use of a cookie on your end device and can transmit your personal data to us. We process this data exclusively to process your request and to answer your questions. The legal basis for the processing of your personal data in the context of this function is Art. 6 para. 1 lit. f GDPR.

Please note that unencrypted e-mails are generally not a secure means of communication. We therefore recommend that you only send us confidential information by other means, e.g. by post or telephone.

We would like to point out that by sending your application by e-mail to our recruiting e-mail address, you have consented to the use of your personal data in accordance with this privacy policy.

We would like to point out that by sending your application by e-mail to our recruiting e-mail address, you have consented to the use of your personal data in accordance with this privacy policy.

8. Online presence in social media

We maintain various presences on social networks and platforms in order to communicate with customers, interested parties and users who are active there and to inform users about our services.

Please note that user data may be processed outside the European Union and Switzerland. This may entail risks for users, as it may, for example, be more difficult to enforce data subject rights.

In addition, user data is generally processed for market research and advertising purposes. For example, user behavior and the resulting information about the user's interests can be used to create user profiles. The user profiles can in turn be used to place advertisements, for example within and outside of platforms, which supposedly correspond to the user's interests. Cookies are usually stored for these purposes, which record the user's behavior and interests on the user's computer. In addition, data in the user profiles can also be stored separately from the users' devices (especially if the users are members of the respective platforms and are logged in to them).

The processing of users' personal data is based on our legitimate interests in providing effective information to users and communicating with users. If users are asked by the respective providers to consent to data processing (i.e. to give their consent, e.g. by clicking a checkbox or pressing a button), the legal basis for processing is consent.
